Whatever kind of function you are putting on, there will be many steps you can take to make it as perfect as possible. Many people will simply focus their time and energy into getting one area right, however, plenty of thought needs to be put into every area if you want to make it as great as it can be.

The most important part will actually usually be the people you invite, and this can be a tricky area. For some functions you may feel obliged to invite guests that you may not really want at the event and this can create tension. Try and find ways, wherever possible to keep the guest list as concise as you can and you are far more likely to find that the night goes off without a hitch (unless of course it is a wedding party you are organising, in which case let’s hope there is one hitch).

Whilst trying to excise people from your list can be hard and may bring up worries about the repercussions, there are many ways that such cuts can be made, from choosing the dates carefully to simply choosing conference venues of a certain size. Of course, there are plenty of other ways and making sure you only invite the guests you really want will serve to make the function a whole lot more successful.


After the guest list, the other main consideration is venue hire. Choosing the right conference facilities is not just about size, but it is also about aesthetics and ambience. You need to make sure that the room will be accommodating and comfortable for all the guests you are inviting, but also that it looks reflect the occasion too. When looking into venue hire, try to do it as far in advance as possible to give you the widest range of choice and ensure you don’t just get stuck with ‘whatever is left.’

You also need to make numerous considerations about how flexible the venue you choose is likely to be. For instance, you will need to know if you will be able to cater the event yourself if that is what you want, whether there will be adequate parking and whether the facilities in general that the place offers will cover exactly what you need.

Once venues have been chosen, catering is the next big undertaking. Whilst it may seem wise to simply put such a task into someone else’s hands, happy to receive the same type of food that will be the staple of functions all over the world, the type of food you choose is actually very important. Knowing the guest’s dietary requirements is a must and understanding the type of people you have invited will mean that you can get far more interesting with the catering you choose, and in turn help your function stand out above all the others.


Finally, remember to decorate. Decoration isn’t just about a few balloons, but all about coherence. Make sure the room feels like a complete space and not just a jumble of tables and chairs brought in from different places to make up numbers.
